Booking Officer – Security and Crowd Management

  • Location: On site, Home, Portsmouth Office and event sites around the UK
  • Salary: £9.62ph (equivalent to £20,000) increasing to £10.10ph (equivalent to £21,000) after first three months.

What will the successful candidate be offered?

The successful candidate will be working directly with and managed by a specific Junior Contract Manager. The successful candidate’s role will be to provide the vital communication link between the Vespasian office and the operational teams on the ground. Confirming shift booking, attendance, holiday requirements, changes to assignments, update of client requests, mass contacting of team members regarding new open opportunities that are available etc.

Once the candidate has mastered Vespasian’s online staff booking system, it will be their responsibility to focus on long term, strategic booking of team members, where quality and reliability of service can be guaranteed to Vespasian’s clients.

Knowledge or experience within the security industry is not essential but the ability to relentlessly pursue a task to completion is essential. The successful candidate will be using online systems as part of their role, but their main method of communication will be Vespasian’s phone system.

There will be an opportunity to join operational team members during live deployments but the main focus of the role will remain the Booking Officer role. The successful candidate will act as the dedicated Booking Officer to a large portfolio of contracts which will be managed by their partnered Junior Contract Manager.

Vespasian deploy team members to a wide range of security sectors including retail, facilities management, health care, social care, night-time economy, crowd safety management as well as international consultancy. This will call upon the successful candidate to take on key roles within a multitude of operations including large scale crowd management teams at local regional, national and, at times, international events.

This role is varied in the extreme. No two days are ever the same with the demands of the role extending throughout the working week and often around the clock. Common and regular duties:

  • Management of portfolio booking via workforce management software PARiM (no prior knowledge of system required).
  • Maintain regular and meaningful telephone contact with all team members within your portfolio of contract.
  • Completion of welfare calls to lone working team members.
  • Use of strategic thinking in the planning for long term, high quality booking for clients.
  • Feedback of poor service to senior team members to ensure challenges can be addressed.
  • Ensure that all contracts are fully staffed within their portfolio
  • Monitor the clocking in and out of team members shifts
  • Assistance in the provision of timesheets from site to Vespasian finance team.
  • Ensure SIA watchlists are completed and checked on a weekly basis for all licenseable team members working within their portfolio.
  • To entirely own the booking of their portfolio and be THE point of contact and the guru of their team for out of hours drop outs and last minute client requests.
  • To build great professional relationships with operational teams
  • Bring a proactive and positive approach to all aspects of your work
  • Take on a series of vocational training courses running concurrently to your working hours, to upskill and develop your knowledge on a continual basis

Common but irregular duties and activities:

  • Take an active role in recruitment including assisting at mass recruitment events and job fairs as well as conducting interviews.

What do you need before you can apply?

What is required:

  • Be based in the South Hampshire or West Sussex area (Portsmouth, Southampton, Fareham, Chichester etc).
  • Have good IT skills including a working knowledge of Microsoft Office software programmes including Excel, Word etc.
  • Be prepared to dive into a role which often calls upon work to be carried out during antisocial hours as well as during national holidays and weekends.
  • Be excited to be part of a dynamic company working within an exciting industry

What is desired:

  • Have already worked within the security industry but this is not essential.
  • To have had some experience of office based telephone focused roles

Professional development and progression

The successful candidate will receive a budget to the value of 5% of their annual salary at their disposal. This is ring fenced to undertake additional professional qualifications. This budget renews annually.
